If your emails keep landing in recipients’ spam folders, the cause is usually missing email authentication or a flagged sending reputation. Here is how to fix it.


Set Up Email Authentication

Three DNS records prove your mail is legitimate. All are added as TXT records in your DNS settings:

  • SPF — lists which servers may send mail for your domain. Without it, receiving servers are suspicious by default.
  • DKIM — adds a cryptographic signature to outgoing mail. Enable DKIM signing in Plesk under Mail → Mail Settings.
  • DMARC — tells receivers what to do with mail that fails checks, and sends you reports.

Once enabled, authentication fixes the majority of deliverability problems.

Other Common Causes

  • New domain: young domains have no reputation — spam filters distrust them at first. Warm up slowly.
  • Bulk sending: sending many identical emails triggers filters. Use a proper mailing service for newsletters.
  • Spammy content: ALL-CAPS subjects, excessive exclamation marks, and link-heavy messages score badly.
  • Compromised account: if a mailbox was hacked and sent spam, the server IP may be blacklisted — check your domain at a blacklist lookup tool.

Quick Wins

  • Ask frequent contacts to add you to their address book — replies train filters that you’re wanted.
  • Always include a real reply-to address and sign with your name and company.
  • If your server IP is blacklisted, open a ticket — we can investigate and submit delisting requests.
